To ensure a smooth and efficient process for issuing certificates, the following policy applies to all training sessions:
1. Submission of Attendee Form
To receive a certificate for any training session, all attendees must complete and submit the Attendee Form within 7 days of the session. This form serves as the official record of attendance and is required for certificate issuance.
2. Late or Additional Certificate Requests
Any requests for certificates for individuals who were not listed on the original Attendee Form at the time of submission will not be processed. If an attendee was not included in the initial submission, they will be required to attend the session again and submit a certificate request within the designated 7-day timeframe.
3. Processing Timeframes
Direct-to-Attendee Certificates: Certificates delivered directly to attendees typically take 1 working day to process, although they may be issued sooner.
Certificates Sent to a Central βHostβ: If certificates are required to be sent to a single point of contact for internal distribution, the process is more manual and takes longer. Please allow up to 7 working days for these certificates to be issued.
Please see point 7 for specific information on certificate distribution via a central ‘host’.
4. Processing Order & Prioritisation
All certificates are processed on a first-come, first-served basis. We are unable to prioritise individual requests.
5. Digital Certificates Only
All certificates are issued in digital format only via email. If a printed certificate is required, attendees are responsible for printing it themselves. We do not offer this service.
6. Corrections & Re-Issuance
If there is an error on a certificate (e.g., minor name spelling mistakes), requests for corrections must be made within 14 days of receiving the certificate.
Requests will only be accepted if they involve small corrections, such as “Karen” to “Caron”.
Significant changes, such as “Karen” to “Rachel”, will not be permitted, and the individual will need to attend the session again to receive a new certificate.
Each change request will be reviewed on a case-by-case basis. The decision to amend an existing certificate or require the individual to attend the training again for a new certificate will be at the discretion of the reviewer.
7. Responsibility for Distribution
For training sessions attended by groups from the same company, there is often a designated ‘host’ responsible for coordinating the attendees. In some cases, this host may request that all certificates be sent to them for internal distribution, rather than directly from Quelfire to each attendee.
In this situation, once Quelfire has issued the certificates to the designated host, it is this host’s responsibility to ensure timely distribution. Quelfire is not responsible for any delays in this internal process.
Please see point 3 for more information on estimated processing times.
8. Contact for Certificate Queries
For any questions or issues regarding certificates, please contact training@quelfire.co.uk.
We appreciate your cooperation in adhering to these guidelines to ensure timely and efficient certificate distribution.
